In short

Four deadlines govern the documents needed for a newborn baby in India, and nobody hands you the list.

21 days to register the birth. 30 to 90 days to add the baby to health insurance. Before age 10 to open a Sukanya Samriddhi account for a girl. And two reminders to set now, for your child's 5th and 15th birthdays, both mandatory Aadhaar biometric updates.

Miss the first and it escalates to a magistrate's order. Miss the second and waiting periods can reset. Miss the last two and you find out at the worst possible moment.

The four deadlines that actually bite

1. Birth registration, 21 days

Past 30 days it needs an affidavit and written permission. Past a year it needs a magistrate's order. And do not assume the hospital did it, because they usually forward the record but not always. Ask for the acknowledgement and follow up in week two.

2. Health insurance, 30 to 90 days

Miss the window and the baby may be treated as a fresh member with fresh waiting periods, which can mean years of exclusions. Employer group policies are often the tightest.

3. Sukanya Samriddhi, before age 10

A hard cutoff. After a girl child turns 10 the option is gone permanently. 250 rupees opens it at any post office.

4. Aadhaar biometrics, ages 5 and 15

Both mandatory, both free, and missing them can deactivate the number. Families typically discover this during a board exam registration.

Fees and processes change, and differ by state. Confirm with the issuing office before you travel anywhere.

The three mistakes people make

  1. Leaving the name blank on the birth certificate. Many hospitals register Baby of followed by the mother's name. Adding it later is a separate application with affidavits. If you have decided the name, give it at registration even if the naming ceremony is weeks away.

  2. Ordering one copy. Get five. School admission, passport, Aadhaar, insurance and a spare.

  3. Not checking spellings at the counter. The child's name, both parents' names, date, time, place and sex, before you leave the building.

A correction at three months is an inconvenience. The same correction at fifteen, when the certificate no longer matches school records, Aadhaar and board certificates, is a multi-year problem.

Special situations

  • Born abroad to Indian parents. Register with the Indian Mission or Consulate, ideally within a year.

  • Adoption. The CARA process reissues the birth certificate in the adoptive parents' names by court order.

  • Surrogacy. The Surrogacy Regulation Act, 2021 changed documentation substantially. Get case-specific legal advice.

  • Single or unmarried mothers. You are entitled to register the birth and obtain every document. The Supreme Court has held that a single mother can be sole guardian without naming the father. Some officials are unaware of this, so carry a printed copy of the guidance.

While you are at it

Two things worth doing in the same fortnight, because they are the same kind of admin and the same window.

What documents are needed for a newborn baby in India, at minimum?

The birth certificate is the only genuinely essential one in the first month, and everything else flows from it. Bal Aadhaar and the insurance addition follow within three months. The passport is only needed if you travel.

How many copies of the birth certificate?

Five. They cost 20 to 100 rupees each and getting them later means another trip to the corporation office.

We missed the 21-day birth registration deadline.

Recoverable, and worse the longer you wait. Under 30 days is a late fee, under a year needs an affidavit and permission, over a year needs a magistrate's order. Go this week.

Does the baby need a PAN card?

Not for most families. It is needed if the child is a nominee, has income in their name, or you are making investments that require it.
